Sharing a form

Use @mentions to complete a form with your coworkers.

On web, an in-progress form can be filled out and finished by more than one worker. This process is outlined below.


Share a form with your coworker

  1. Create the form (see Adding and completing a form). Now you have edit control of that form, which means you're the only one who can edit it right now.

  2. Open the Notes tab of the form, located in the right-hand panel.

  3. In the note field, type @, then type the first or last name of the worker you need to help you finish the form. Repeat for additional workers if needed. Make sure whoever you @mention has access to this form.

  4. Click Save, then the worker(s) will be notified and given a link to the form.

To @mention another worker after you've saved the note, just start over from step 3. Notes are NOT saved when someone finishes the form.


Contribute to a form from your coworker

  1. From the notification you receive, open the form, then click Take edit control in the right-hand panel. Only one person has edit control at a time, but any user with access to the form can take edit control at any time.

  2. Now that you have edit control of the form, continue to fill it out, finish it, or click Release edit control to send it back to the form creator.

If you've taken edit control of a form, it will appear on your user overview page when you log in (Taken content).


Note for Traverse Connect users:

If you work at an agency that uses the Traverse Connect feature, you can also share forms with collaborators in a connected case.

Click Share with collaborator and choose a collaborator. Then add an optional message and decide whether to uncheck the Lock all edited form fields box.

When you share the form with the Lock all edited form fields box checked, the form fields you have edited will be locked for the collaborator, so they can't overwrite any data you've entered. When you share the form with this box unchecked, the collaborator will be able to edit any fields you could edit as well.

Once you share the form, the collaborator you chose will be notified by email. Any message you added will be included in the email.

In addition to any form fields they cannot edit, collaborators cannot autofill data, delete other people's signatures, or see the information in the form's side panel.

The form can still be taken and finished by another worker, but you'll be notified if that happens. If a collaborator is removed from the case or system, the form creator will get the form back.
